Personal Assistant
Your primary mission will be to free up the Director’s time from routine tasks, efficiently coordinate both business and personal operations, and ensure seamless time management.
Your Mission:
1. Calendar & Time Management
Manage the Director’s daily schedule: schedule meetings, calls, conferences, and interviews.
Filter incoming requests and prioritize daily tasks and action items.
Remind the Director of important events, deadlines, and personal milestones.
2. Communications & Information Support
Handle business correspondence on behalf of the Director (Email, instant messengers).
Screen and direct incoming phone calls.
Gather, analyze, and synthesize information upon request (competitor analysis, vendor sourcing, brief preparation).
Prepare presentations, reports, and talking points for speeches or meetings.
3. Travel Coordination
Manage comprehensive travel arrangements for both business and personal trips (flights, hotels, transfers, visas, insurance).
Create detailed itineraries and travel schedules.
4. Administrative & Personal Support
Execute personal errands (purchasing gifts, booking restaurants, organizing family events, liaising with domestic staff).
Manage primary expense reporting (travel balances, entertainment expenses).
Track and follow up on the execution of the Director’s assignments by other team members.
Your Unique Contribution:
Experience: 1–3 years of experience in a similar role. Experience supporting C-level executives is a major plus.
Education: Bachelor’s degree. Linguistics, Philology, Economics, or Business Administration preferred.
Languages: Fluent in Russian with excellent verbal and written communication skills, and English at an Upper-Intermediate B2 level or higher.
Tech Skills: Proficiency in office software like MS Office, Google Docs, Sheets, Keynote, and PowerPoint. Experience with task managers such as Trello and digital calendars. Strong command of business correspondence and corporate etiquette.
Personality: High stress tolerance and adaptability with the ability to pivot quickly when plans change. Proactivity and the ability to anticipate the Director's needs one step ahead. Superb organizational skills and sharp attention to detail.
